Privacy Policy

Introduction

I, at Tarot with Gord, prioritise your privacy. This policy outlines how I collect, use, and protect your personal information.

Personal Information Collection

I collect your name, email, and phone number when you book a service. If you choose to book certain types of sessions, you may also be asked for your birthday.

When you book a reading, you can optionally provide information about what you’d like to explore in the session (reading topic or questions). This is not required.

When you make your first booking, a customer account is automatically created for you. This allows you to access your booking history and manage upcoming appointments through the customer panel at https://tarotwithgord.com/customer-panel/

Payments are securely processed by Stripe and PayPal, depending on the method you select. I do not store your payment card details – these are handled entirely by the payment processors.

Usage of Information

Your details help me schedule appointments, send confirmations, and communicate about your booking.

Essential Service Emails: You will receive automated emails for booking confirmations, appointment reminders (24 hours before your session), and follow-up messages. These are essential to the service and cannot be opted out of.

Marketing Emails: I may also use your information to share relevant updates, resources, or information about new services through email newsletters. You can unsubscribe from marketing emails at any time using the link at the bottom of any email, or by emailing admin@tarotwithgord.com

Reading Notes and Reflection Journals

For tarot readings, I may take notes during the session to help create a written reflection journal summarising the key insights from your reading. This reflection journal is sent to you via email after the session.

Reflection journals are stored with your first name only and are not linked to your customer account. They are kept to support the quality of my work and for reference purposes.

If you do not want a reflection journal created, please let me know at the time of booking.

Data Sharing and Third-Party Interaction

I only share data with trusted third parties that support my work:

  • Stripe and PayPal process payments securely
  • Brevo manages email communications and newsletters
  • Amelia (booking system) stores appointment and customer data
  • Ahrefs provides website analytics
  • Google Analytics (routed through Cloudflare) tracks website usage
  • Zoom hosts online readings and sessions

These third parties are required to protect your data and use it only for the purposes I’ve authorised.

Data Storage and Security

Your data is protected by SSL encryption, secure servers, and additional security tools installed on my website. I take your safety seriously and strive to prevent any unauthorised access.

Booking and customer data is stored within the Amelia booking system on my WordPress website, which is hosted on secure servers.

Data Retention

I retain your booking data for 5 years from the end of the tax year in which your last appointment took place. This is a legal requirement for tax purposes as a sole trader.

After 5 years, your personal information is deleted unless you have an active booking or ongoing package.

If you request deletion of your data before the 5-year period, I will delete your personal details (name, email, phone) from the booking system but must retain basic transaction records (date, service, amount) for tax compliance.

Reflection journals are stored separately with first name only and are not automatically deleted when customer data is removed.

Cookies and Tracking Technologies

I use cookies to improve your experience, support analytics, and help with marketing. You can choose to manage your cookie settings via your browser or through the cookie banner on the website.

User Rights

Under UK GDPR, you have the right to:

International Data Transfers

All data is stored and processed within the UK or in regions with equivalent data protection standards (EU/EEA). Some third-party services (such as payment processors) may process data internationally but are required to maintain appropriate security standards.

Children’s Privacy

My services are for over-18s only. I do not knowingly collect personal information from anyone under 18. If I discover that someone under 18 has provided personal information, I will delete it immediately.

Testimonials, Reviews, and Educational Content

Use of Session Insights: I may reference insights from readings and sessions in anonymised form for marketing and educational purposes. This includes blog posts, social media content, email newsletters, courses, workshops, and other educational materials.

These references are used to illustrate tarot concepts, reading approaches, or the types of questions I work with. All identifying details (name, location, specific personal circumstances) are removed or changed to protect your privacy.

Sessions are never discussed in a way that could identify you. The focus is on illustrating the tarot work, not on your personal situation.

If you do not want any aspect of your session referenced in this way, please let me know at the time of booking or email admin@tarotwithgord.com and I will note this on your account.

Testimonials and Reviews: I may ask you to provide a testimonial or review after your session. If you agree, your testimonial may be published on my website, social media, or marketing materials.

You can choose whether to provide your full name, first name only, or remain anonymous. Testimonials are voluntary and you can request removal at any time by emailing admin@tarotwithgord.com

Photos and Social Media: If I take photos at group events (sound baths, workshops, Simply Tarot Circle), I will ask for consent before posting images on social media. You are welcome to decline or request that photos of you are not shared.

Use of AI Tools

To help write clear reading summaries, I sometimes use AI tools like Claude or Zoom’s meeting notes. I mostly write from memory, but occasionally upload anonymised or partial transcripts.

I always use temporary conversations and never include your name, email, or payment information. These tools don’t store data and are used solely to support clarity while respecting your privacy.

If this policy changes, I’ll update it on my website. I won’t send an announcement, so feel free to check back anytime.

Terms and Conditions

Introduction

Welcome to Tarot with Gord. These terms govern the use of my services and website, emphasising a respectful and insightful experience. By accessing my services, you agree to these terms.

Services Offered

I provide tarot readings (in-person and via Zoom), sound bath sessions, meditation sessions (group and 1-1), and educational offerings including Simply Tarot courses, the Simply Tarot Circle, and workshops.

Tarot readings focus on present understanding rather than future predictions. Sound baths use crystal singing bowls, Himalayan bowls, and other instruments tuned to 432 hertz for relaxation and energy work. Meditation sessions support personal mindfulness and stress reduction.

Educational content about tarot is available through courses, workshops, the Simply Tarot Circle, and informational resources. Downloads and workbooks may be available as add-ons.

Reading packages are available for ongoing support, ranging from 3 months to 12 months depending on the package selected.

Booking and Appointments

Bookings can be made up to 365 days in advance. All bookings are confirmed immediately and you’ll receive a confirmation email with the appointment details.

For Zoom sessions (readings, meditation, or Simply Tarot Circle), you’ll receive the meeting link in your confirmation email and a reminder 24 hours before your session.

For in-person sessions at FLOW by Transcend (Salford Quays), the location address is provided in your confirmation email.

Minimum booking notice: Individual appointments require at least 3 hours notice before the scheduled time. Group events and courses may have different booking deadlines as specified at the time of booking.

Group Sessions and Events

Sound bath and meditation sessions may be offered as group events with per-person pricing. Minimum participant numbers may apply for certain sessions.

For private group bookings, a £30 travel fee applies for locations outside of FLOW by Transcend (Salford Quays), with minimum booking requirements depending on the session type.

Health and Safety

Sound Baths: Sound baths involve vibrational frequencies from crystal and Himalayan singing bowls tuned to 432 hertz.

If you have any of the following conditions, please consult your doctor before attending:

  • Epilepsy or seizure disorders
  • Heart conditions or pacemaker
  • Metal implants or recent surgery
  • Pregnancy (first trimester)
  • Tinnitus or sound sensitivity

You are responsible for informing me of any health conditions that may affect your participation. Sound baths are for relaxation and wellbeing, not medical treatment.

Meditation: Meditation sessions support personal mindfulness and stress reduction. They are not a substitute for medical or mental health treatment. If you have concerns about whether meditation is suitable for you, please consult a healthcare professional.

Rescheduling

Individual Appointments (Readings, 1-1 Meditation): You can reschedule appointments yourself through the customer panel at https://tarotwithgord.com/customer-panel/ with at least 1 hour notice. Your appointment will automatically update in the system and you’ll receive a confirmation email with your new time.

For package appointments, please provide at least 24 hours notice when rescheduling.

Group Events (Sound Baths, Group Meditation, Workshops): Group events cannot be rescheduled. If you cannot attend, you may transfer your ticket to another person by emailing admin@tarotwithgord.com with their details at least 24 hours before the event.

Courses and Simply Tarot Circle: Individual session absences do not qualify for rescheduling or refunds. Course content and Circle sessions are delivered on scheduled dates.

Cancellations

Individual Appointments (Readings, 1-1 Meditation): To cancel an appointment, email admin@tarotwithgord.com with at least 24 hours notice. Cancellations made less than 24 hours before your appointment are not eligible for refund.

Package Cancellations: To cancel a package, email admin@tarotwithgord.com

Refund eligibility:

  • Within 14 days of purchase: Full refund for unused sessions
  • After 14 days: Pro-rata refund for unused sessions minus 20% administration fee
  • Packages with 50% or more sessions used: No refund available

Group Events (Sound Baths, Group Meditation, Workshops): To cancel a group event booking, email admin@tarotwithgord.com with at least 48 hours notice for a full refund. Cancellations with less than 48 hours notice are not eligible for refund.

If I need to cancel a group event, you will receive a full refund.

Courses and Simply Tarot Circle: Course cancellations must be requested within 14 days of purchase for a full refund. After 14 days or once the course has started, no refunds are available. Simply Tarot Circle subscriptions can be cancelled at any time but no refunds are given for the current billing period.

Refund Processing: All approved refunds are processed within 5-10 business days to your original payment method.

No-Shows and Late Arrivals

Individual Appointments: If you miss an appointment without notice, the session is counted as used and no refund or rescheduling is available. For package bookings, the missed session is forfeited.

If you arrive more than 10 minutes late to an in-person or Zoom appointment, we’ll use the remaining time available. Sessions cannot be extended to compensate for late arrival.

Group Events: If you miss a group event (sound bath, group meditation, workshop) without notice, no refund or credit is available. The ticket cannot be transferred after the event has started.

Courses and Simply Tarot Circle: Missed sessions cannot be rescheduled or refunded. Course materials and recordings (where available) may be provided for missed sessions at my discretion.

Payment and Refunds

Services are payable securely via Stripe or PayPal. Payment is required at the time of booking.

For individual tarot readings, if a session doesn’t resonate, I’m open to discussing refunds on a case-by-case basis. Immediate concerns during in-person or Zoom sessions should be voiced during the appointment for consideration.

Refunds for other services are handled according to the cancellation policies outlined above.

Digital Products

Digital products including downloads, workbooks, recordings, and online course materials are non-refundable once accessed or downloaded. By purchasing digital products, you acknowledge that you cannot return or exchange them.

If you experience technical issues accessing a digital product, contact admin@tarotwithgord.com and I’ll work to resolve the issue.

User Registration and Accounts

You don’t need to create an account to book, but a customer panel is automatically created when you make your first booking. You can access it at https://tarotwithgord.com/customer-panel/ to view your booking history and manage upcoming appointments.

Intellectual Property

All content, unless otherwise stated, is my intellectual property. Use of my materials without proper attribution is not permitted.

User Conduct

Users must be over 18 and engage respectfully. Discriminatory behaviour, including misgendering or any form of bigotry, may result in a refusal of future service. I value harmony and reserve the right to refuse service to anyone not aligning with these principles.

Communication and Appointment Info

All communication is handled via email. This includes booking confirmations, reminders, and Zoom links where applicable.

Limitations of Liability

I am not responsible for any losses or damages resulting from the use of my services. Tarot readings are for guidance and do not substitute professional advice in legal, medical, financial, or mental health matters. Sound baths and meditation sessions are for relaxation and wellbeing, and are not a substitute for medical treatment.

Governing Law

These terms are governed by UK law, applicable to agreements made and entirely performed within the UK.

Changes to Terms and Conditions

Updates will be posted on my website without direct notification.
